Privacy Policy

This Privacy Policy (‘Policy’) governs the manner in which the Urban Future Exchange (‘UFX’/‘we’/’our’) and our website (https://ufx.org.au/) collects, uses, maintains and discloses information collected from users (each, a 'User'/’you’) of the website ('Site'). This Policy applies to the Site and all events, activities, products and services offered by UFX.

​Access to our Site

Users may visit our Site anonymously. However, if you wish to remain anonymous, you may not be able to access all features of our Site.

Personal Identification Information

​Personal Identification Information is information which uniquely identifies you, or which may tend to permit your identity to be reasonably inferred. It may include information such as your name, birth date, telephone number, email address, postal or home address, or bank account or credit card information.

We may collect Personal Identification Information from you in a variety of ways, but only when you supply it to us. This may include (but is not limited to) when you:

  • Post a comment on our Site;

  • Register for an event, activity, service, feature or resource we make available on our Site;

  • Register to join UFX as a member or when you log in as a member on the Site;

  • Subscribe to receive the UFX newsletter; and/or

  • Submit an enquiry to UFX or interact with our Board members, volunteers or staff in some other way.

We will collect Personal Identification Information from Users only if you voluntarily submit such information to us. Users can always refuse to supply Personal Identification Information, except that it may prevent you from engaging in certain Site related activities.

​Our customer relationship management (CRM) software is a cloud service that we use subject to the terms and conditions of that proprietary software. The CRM automatically logs emails sent to and from UFX, so that we can keep good records. It also logs other metadata inherent in the communication, for example by extracting phone numbers and company information from an email signature. We use this information in order to keep track of our business communications, but we never share it with anyone outside UFX.

​Non-personal Identification Information

​Non-personal Identification Information is information which is not Personal Identification Information, i.e. that which does not uniquely identify you, or from which it is not likely your identity will be inferred. It may include information such as the type of device you are accessing our Site from, the date and time of your visit, the pages you access, your browser name or type, and other technical information about Users’ means of connection to our Site, such as the operating system and Internet service provider(s) utilised.

We may collect Non-personal Identification Information from Users whenever you interact with our Site.

​Non-personal Identification Information is automatically gathered by various pieces of code, known as ‘pixels’. When you navigate to our Site, you may be simultaneously logged into other accounts, such as your Facebook account. In this example, the Facebook Pixel on our Site will register that you’ve visited ufx.org.au. However, while Facebook’s algorithm knows this information, it is never shared with us or Facebook directly.

​That’s why relevant advertising seems to follow you around the internet. If you want to avoid leaving this digital trail, ensure you are logged out of all accounts (Facebook Google (either through Gmail, YouTube, or Chrome) etc), and browse in an ‘incognito’ window.

​Web Browser Cookies

​Our Site may use 'cookies' to enhance Users' experience. The User's web browser places cookies on their hard drive for record-keeping purposes and sometimes to track information about them. You may choose to set your web browser to refuse cookies, or to alert you when cookies are being sent. If you do so, please note that some parts of the Site may not function properly.

​How We Use Collected Information

​We may collect and use Users’ Personal and/or Non-personal Identification Information for the following purposes:

  • To improve our service to you, and help us respond to your comments or requests more efficiently;

  • To gather a database of people interested in hearing more about our events or other activities, and to undertake market research for campaign and sales purposes;

  • To personalise the User experience on or off our Site;

  • We may use aggregated information to understand how our Users as a group use the services and resources provided on our Site;

  • To send periodic emails to you if you have opted into our mailing list. This may include UFX news, updates, related product or service information (upcoming activities or events, etc), surveys or questionnaires. If at any time you would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions at the bottom of each email, or you may contact us via our Site or by email to contact@ufx.org.au;

  • We may use phone numbers or email or physical addresses provided by you to send you information and updates about our events, activities or announcements;

  • To respond to your enquiries, questions, and/or other requests (via the means requested by you for our response, for example via phone or email); or 

  • To comply with any applicable laws or regulations.

​If you are a UFX member, we may contact you to notify you regarding your membership, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about UFX, or as otherwise necessary to contact you to enforce or update this Policy, applicable laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages, and/or postal mail.

How We Protect Your Information

​We adopt appropriate data collection, storage, processing practices, and security measures to protect against unauthorised access, alteration, disclosure, or destruction of your Personal Identification Information, username and password (where you access the Site’s members only area), transaction information, and data stored on our Site.

​Our Site is encrypted using SSL certificates. Our CRM applications, MailChimp and Squarespace are hosted in secure data centres in the United States.

​Our Board members, volunteers, staff and agents may have access to our database. We don’t provide access to contractors.

​Our Site is hosted on the Squarespace platform. Squarespace provides us with an online platform that enables us to provide services to you. Your data may be stored through Squarespace’s data storage, databases and general Squarespace applications. They store your data on secure servers behind a firewall.

All direct payment gateways offered by Stripe (via the Squarespace application) and Eventbrite, and used by UFX, adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

​Disclosure of Your Personal Identification Information

​We do not sell, trade, or rent Users’ Personal Identification Information to others. 

We will only disclose Users’ Personal Identification Information to others with the User’s explicit consent (either sought from you or as specified to you at the time of collection), or where required in order to comply with UFX’s contractual obligations, legislation or a court order.

We may share your Non-personal Identification Information, or other generic aggregated demographic information not linked to any Personal Identification Information regarding visitors and users to our Site, with our business partners, trusted affiliates, and advertisers for the purposes outlined above.

​At all times, we comply with the data policies of our service providers, such as Meta (Facebook and Instagram), LinkedIn, Hootsuite, Twitter, Zoom, Survey Monkey, Mail Chimp, and Google. These providers set out stringent privacy guidelines that are prerequisite for using their services.

​Third Party Websites

​Users may find advertising or other content on our Site that links to the sites and services of our partners, suppliers, advertisers, sponsors, licensors, and other third parties. We do not control the content or links that appear on these sites and we are not responsible for the practices employed by websites linked to or from our Site. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer service policies. Browsing and interaction on any other website, including websites which have a link to our Site, or is linked on our Site, is subject to that website's own terms and policies.

​Changes to This Privacy Policy

​UFX reserves the right to update this Policy at any time without notice to Users. When we do, we will revise the updated date at the bottom of this page. We encourage Users to regularly check this page for any changes, to stay informed about how we are helping to protect the Personal and Non-personal Identification Information we collect. By using our Site or engaging our services, you acknowledge and agree that it is your responsibility to review this Policy periodically and become aware of modifications.

​Changes and clarifications will take effect immediately upon their posting on the Site. If we make material changes to this Policy, we will notify you here or by email (where possible) that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

UFX will strive to protect all Personal and Non-personal Identification Information provided to us as set out in this Policy. However, we cannot guarantee that some or all of this Information will not be subject to unauthorised access and/or stolen, lost or otherwise misused. All Information provided to us by you is at your own risk.

Your continued use of the Site following the posting of changes to this Policy will be deemed your acceptance of those changes.
